Projects makes it easy to share you project data in a number of different ways.

When viewing tasks, select the Action button, to display the Share menu.

There are 3 options sharing options: Email, Export and Print.
They are described below.

Email

The Email option allows you to send an HTML email with details about tasks in your project.

After selecting the Email option from the Share menu the screen will update and change to Edit mode.

Select the tasks you wish to include in the email. The circle on the left will highlight blue to indicate that the task will be included.

When you are ready to send the email, press the
'Email Selected Tasks' button and the email composer will be displayed so that you can choose the recipients and update the email message.

Export

The Export option allows you to send your project as an email attachment. You can either include selected tasks or all tasks in the Project.

After selecting the Export option from the Share menu the screen will update and change to Edit mode.

If you wish to export all tasks in your project, select the
'Export All Tasks' option at the top of the screen.
The 'Export File' screen will be displayed so that you can choose a file format.

If you only want to send selected tasks, select the tasks you wish to include and choose the 'Export Selected Tasks'.

File Formats

Projects supports four file formats for export. These are:

  • PJ1 is the Default file format for Projects Documents.
    It is the best way to back up and share your project data. Use this file format to send a copy of your project to other team members.

    They will be able to import a copy of the project into their own copy of Projects running on their iPhone.

    (Note: PJ1 is only available when you choose the 'Export All Tasks' option).
  • PDF is the Portable Document Format suitable for Acrobat reader or Preview. It is a read only format, which cannot be edited by recipients.
  • TXT is in Tab Separated format that can be imported in applications such as Microsoft Excel.
  • MPX is a file format that can be imported into Microsoft Project

Importing PJ1 from an email attachment

If you receive a Projects PJ1 file as an email attachment, you can import it into Projects. To do this:

  • Press and hold the file icon until the menu appears.
    Select 'Open in "Projects"'
  • Projects will then ask you if you want to import the file.
  • Press the 'Import' button to import the file.
    After the file has imported, a summary of the project details will be displayed.

After the file has been imported, a copy of the original file will be stored in Projects' inbox. You could choose to leave it there, perhaps using it as a project template. Alternatively you can manually delete it to save disk space.

Print

The Print option allows you to print your project to printer using AirPrint. You can either include selected tasks or all tasks in the Project.

After selecting the Print option from the Share menu the screen will update and change to Edit mode.

  • Use 'Print Selected Tasks' when you want to manually choose which tasks to print.
  • Use 'Print All Tasks' when you want to print all tasks in your Project.

PDF & Print Settings

Printing and PDF Export use the same preferences set for display on the iPhone such as sort settings, notes display and include completed tasks.

In addition there are a number of Settings which allow you to configure how the page is formatted.

The 'PDF & Print' settings are accessed from the 'Settings' menu. You can configure 'Paper Size', 'Layout Options' and 'Header and Footers'.

  • Use "Paper Size" to choose from 4 Paper formats: A4 and Letter, Landscape or Portrait.
  • Use "Show Date Columns" to display Start and End Dates
  • Use "Show Week Numbers" to display Week numbers

The PDF will automatically adjust the scale to fit all the tasks on the paper.

Using Projects with Google Docs

Projects makes it easy to backup your data to Google Docs.

Use it to share projects with other people or duplicate a project to use as a template.
